    • Waitlist families will only pay if a space becomes available.

PTO Club Co-Chairs Job Description – Publicity Chair

PTO Clubs are after school clubs held for usually 1 hour for 6-8 weeks. The clubs are taught by Belmont Public School employees and held at Chenery Middle School. There are three sessions each year, in the fall, winter, and spring.

The PTO Club Committee is responsible for organizing the clubs and registering students. Historically the Club has needed 3-4 volunteers, including an Administrative Contact, Publicity Chair, and a Family Contact. The tasks of the Publicity Chair are as follows:

  • Create E-blasts and design flyer to promote clubs to Chenery Middle School students and parents. Make copies of flyers to hang around school and distribute in teachers' mail folders. In addition, create information to be read during morning announcements and in eblasts to promote the clubs. (8-10 hours)
  • Create Word document with details of clubs. Compile information from registration website into one concise document which can be distributed easily and saved for future reference (1-2 hours)
  • Update information on website. Update website and email auto response to reflect status of club registration. Registration usually lasts 1 week, but if there are spaces still available, it may be extended until the start of the clubs. (1-2 hours)

Most work can be done online at home. Occasionally volunteers may meet to determine plans. Work for the committee is concentrated during the following time periods, though not every volunteer will have tasks for the whole time period. The time period critical for the Publicity Chair is noted in parentheses.

  • Fall Session PTO Clubs: Late August-early October (late-September to early October)
  • Winter Session PTO Clubs: Mid-December-late January (early to mid-January)
  • Spring Session PTO Clubs:  Early March-mid April (late-March to early-April)

Being a member of the Clubs Committee brings great satisfaction, as you can regularly see the fruits of your labor in the students, instructors, school, and PTO. This position is ideal for someone who likes to work independently, is organized, and has an eye for details. The process of this committee is well-documented, but can be adapted as new committee members bring fresh ideas to make the Club opportunities for students even better. If you are looking for a volunteer position where you will know that you truly make a difference, this is the one.

If you are interested or have any questions, please feel free to reach out to the Clubs Committee at cheneryptoclubs@gmail.com.
